Small hotels and home barbers lose a slot every time a booking does not show and no deposit was taken

A small hotel owner posted that a caller booked a room for 8 pm, was still missing at 9, and ignored several calls, so the owner gave the room away and now worried about being blamed if the guest turned up at 10. Replies, in a thread of 62 comments, said most places hold a room only with a transfer deposit or full payment, so each owner ends up inventing their own rule. A home barber asked a lawyer site about regulars who book and never come; one lawyer said to take a deposit and write the terms, since the deposit can then be forfeited, and another said suing was not worth the time.

5 ways to tackle it

  • Voice and phone

Call Taker: an AI answers the booking call in Thai, quotes the deposit and texts the QR

When the barber's or hotel's phone rings, the AI answers, asks time and name, explains the deposit rule and texts a PromptPay QR. The slot is held for 15 minutes and freed if no transfer comes.

Build with Twilio Voice, Thai speech, Claude, PromptPay QR, SMS

  • Web portal

Deposit Sign Maker: three questions, then a printable sign with your rule and a QR

The owner answers: how much deposit, when it is forfeited, how long a slot is held. The tool makes a plain-Thai sign and booking terms with the QR, so the rule a lawyer said to write down is on the wall.

Build with Next.js, PDF template, PromptPay QR generator

  • Hardware and sensors

Hold Clock: a countdown light at the counter that frees the slot when time runs out

When a room or chair is promised, the owner taps a button and a countdown starts on a small display or LED strip. It turns red at zero and the slot is posted as free, so there is no 9 PM guessing about whether the guest is coming.

Build with ESP32, OLED or LED strip, button, buzzer

  • Automation and APIs

Show-Up Nudge: a text and a call two hours before, press 1 or the slot goes back

Two hours before the booking the customer gets a text and, if unanswered, an automated call. Confirming keeps the slot, no answer returns it to the open list, so no-shows become a decision made early enough to resell.

Build with n8n, Twilio SMS and Voice, Google Calendar

  • Camera and vision

Slip Check: send the transfer slip, it confirms the amount and holds the slot

The customer sends the deposit slip photo. Vision checks the amount, time and reference and holds the slot, so the owner does not have to open banking apps to compare slips by eye.

Build with Claude vision, slip verification API, Calendar
